SOVICE Privacy Policy

This Privacy Policy explains what personal information SOVICE collects, why we collect it and what we do with it.

1. Who Can Use SOVICE?

SOVICE is intended for people aged 16 or over.

Players aged 16 and 17 are welcome to use SOVICE.

SOVICE is not intended for children under 16 and we do not knowingly register players who are under 16.

If we discover that someone under 16 has registered, we may end their participation and delete or anonymise their personal information where appropriate.

2. Information We Collect

We try to collect only the information reasonably necessary to operate SOVICE.

Depending on how you use SOVICE, this may include:

Registration Information

Information you provide when registering, such as:

  • chosen username or display name;
  • unique ID;
  • confirmation that you are aged 16 or over;
  • social-media/contact handle;
  • preferred contact method; and
  • other information you choose to provide through the registration form.

We do not need your exact date of birth simply to confirm that you meet SOVICE's minimum age unless this becomes reasonably necessary.

Game Information

We may maintain records relating to your participation, including:

  • your starting and current SOVICE balance;
  • signing and release instructions;
  • active and released artist signings;
  • Label Values;
  • leaderboard performance; and
  • information required to calculate and administer the game.

Communications

If you communicate with SOVICE by email, messaging service, social media or another approved method, we may retain relevant communications.

This helps us administer signings and releases, respond to questions and resolve any disagreement concerning instructions.

Please do not send sensitive personal information that is unrelated to SOVICE.

Website Information

Our website and hosting providers may automatically process limited technical information required to operate and secure the website, such as IP addresses, device or browser information and server logs.

If SOVICE later introduces analytics, advertising or other non-essential tracking technologies, this Privacy Policy and any necessary cookie controls will be updated.

3. How We Use Your Information

We may use personal information to:

  • register you for SOVICE;
  • confirm that you meet the minimum age requirement;
  • communicate with you about participation;
  • receive and process game instructions;
  • maintain label, signing and release records;
  • provide requested label reports;
  • calculate leaderboard rankings;
  • prevent abuse and maintain fair play;
  • investigate and correct errors;
  • maintain SOVICE's security;
  • respond to questions or requests; and
  • comply with applicable legal obligations.

We will not intentionally use personal information for purposes that are incompatible with these reasons without an appropriate basis for doing so.

4. Young Players

Players aged 16 or 17 are treated as young players for data-protection purposes.

We aim to:

  • collect as little personal information as reasonably necessary;
  • explain clearly why information is being requested;
  • keep personal information private by default;
  • avoid asking young players for unnecessary personal information;
  • avoid making private contact details publicly visible;
  • provide straightforward ways to ask questions about personal information; and
  • give young players the same data-protection rights available to other users.

Being aged 16 or 17 does not affect your ability to play SOVICE.

The controller responsible for personal information processed through SOVICE is Tomas May Zambrano, trading as SOVICE.

6. Our Reasons for Using Your Information

We only use personal information where we have an appropriate reason to do so under applicable data-protection law.

Depending on the particular use, this may include administering your participation in SOVICE, our legitimate interests in operating and securing the game, complying with legal obligations or your consent where consent is appropriate.

Where we rely on consent, you can withdraw that consent.

7. Label Updates and Marketing

Messages needed to administer SOVICE, respond to your instructions or provide label information you have requested are service-related communications.

We will treat separate promotional or marketing communications differently.

Where permission is required before sending marketing by email, text message or direct message, we will ask for that permission separately.

Agreeing to the SOVICE Terms is not the same as agreeing to receive optional marketing.

You can ask us to stop sending marketing communications at any time.

8. Leaderboard Information

If you participate in SOVICE, certain game information may appear on the public leaderboard.

This may include:

  • your chosen username or display name;
  • Label Value;
  • ranking; and
  • game-performance statistics.

We will not intentionally display your:

  • personal email address;
  • telephone number;
  • private social-media handle;
  • direct-message details; or
  • other private contact information

on the public leaderboard.

For players aged 16 or 17 in particular, we recommend choosing a username that does not reveal unnecessary personal information.

9. Who We Share Information With

We do not sell personal information.

We may use third-party providers to operate SOVICE, including services used for:

  • website hosting;
  • registration forms;
  • email;
  • communications;
  • data storage; and
  • administration.

Relevant providers currently include:

We use third-party service providers to operate SOVICE, including Vercel for website hosting and analytics, Formspree for processing form submissions, and Microsoft for email and communications. We may also use third-party social and community platforms, including Instagram, TikTok, Facebook, X (formerly Twitter), Reddit, and Discord, where you choose to interact with SOVICE through those services.

Those providers may process information when providing their services to us.

We may also disclose information where required by law or where reasonably necessary to protect users, investigate misuse or protect our legal rights.

10. International Processing

Some technology and communication providers may process information outside the United Kingdom.

Where applicable, we will take appropriate steps concerning international transfers of personal information.

Third-party platforms used to communicate with SOVICE may also process information under their own privacy policies.

11. How Long We Keep Information

We do not intend to retain identifiable personal information indefinitely.

As a general policy, registration, game and relevant communication records may be retained while you participate in SOVICE and for up to 12 months after your last participation.

Particular information may be retained for longer where reasonably necessary to:

  • resolve an ongoing disagreement;
  • investigate abuse;
  • establish or defend legal claims; or
  • meet a legal obligation.

When identifiable information is no longer required, we will aim to delete or anonymise it.

Anonymous statistical information that can no longer reasonably identify an individual may be retained for longer.

11. Security

We take reasonable organisational and technical measures to protect personal information against unauthorised access, alteration, disclosure or loss.

No online service or electronic communication method can be guaranteed to be completely secure.

We therefore aim to minimise the amount of personal information we collect in the first place.

12. Your Rights

You may have rights relating to your personal information, including rights to:

  • ask what information we hold about you;
  • request a copy of your information;
  • correct inaccurate information;
  • ask us to delete information in certain circumstances;
  • restrict certain uses of information;
  • object to certain uses of information; and
  • withdraw consent where processing is based on consent.

These rights apply to young players as well as adults.

Some rights depend on the circumstances and are not absolute in every situation.

15. Changes to This Policy

We may update this Privacy Policy as SOVICE develops or as the way we use information changes.

The latest version will be published on Sovice.app with its latest update date.

Where a significant change affects existing players, we will take reasonable steps to make the change clear.
